Email Templates & Signatures

Save time on repetitive emails by creating reusable templates, and ensure every email looks professional with a personalised signature.

Email Templates

Email templates are pre-written messages that you can insert into the compose window with a single click.

Creating a Template

  1. Go to Settings → Email Templates (or click Templates inside the compose window).
  2. Click + New Template.
  3. Enter a template name (for internal reference).
  4. Write the subject line (optional — leave blank to enter it manually each time).
  5. Write the body using the rich text editor. You can include merge tags:

The name of the linked deal
The deal's monetary value
Your full name
Your email address
Your workspace company name
  1. Click Save Template.

Using a Template

  1. Open the compose window.
  2. Click the Templates button in the toolbar.
  3. Browse or search your saved templates.
  4. Click a template to insert it. Merge tags are replaced with real values automatically.
  5. Edit the inserted content before sending if needed.

Editing and Deleting Templates

Go to Settings → Email Templates, find the template, and click Edit or Delete. Changes apply immediately.

Team templates

Templates you create are visible to all team members in your workspace. Use clear, descriptive names so everyone can find the right template quickly (e.g. "Follow-up after demo", "Proposal cover email", "Onboarding welcome").

Email Signatures

An email signature is automatically appended to every email you send from the CRM.

Creating Your Signature

  1. Go to Settings → Email Signatures.
  2. Click + New Signature.
  3. Use the rich text editor to write your signature. You can:
    • Add your name, title, phone number, and company
    • Insert your company logo as an image
    • Add social media icons with links
    • Apply formatting (font, colour, size)
  4. Enter a signature name (e.g. "Default", "Sales", "Support").
  5. Click Save.

Setting a Default Signature

Toggle the Default switch on one signature to make it automatically appended to new emails. You can override this per email in the compose window.

Switching Signatures While Composing

In the compose window, click the Signature icon in the toolbar to see a dropdown of all your saved signatures. Click one to switch to it for the current email.

HTML-only

Signatures support HTML formatting. Recipients using plain-text email clients will see a stripped-down version. Keep critical contact information as plain text within the signature rather than relying solely on images or formatted layouts.

Unsubscribe Handling

If a contact replies requesting to unsubscribe from your emails, mark them as Do Not Email in their contact record:

  1. Open the contact.
  2. Click More → Mark as Do Not Email.
  3. The contact's email address is flagged. Future compose windows will warn you before sending to this address.
