E-Signatures
Bsynced CRM's built-in e-signature feature allows clients to sign proposals electronically — no third-party signing service required.
How the Signing Experience Works
When you send a proposal for signature:
- The recipient receives an email with a link to their personalised proposal.
- They click the link and open the proposal in their browser — no account or download required.
- They read through the proposal content.
- At the end of the document, they see the signature block.
- They type their name (or draw a signature) and click Accept & Sign.
- The signed proposal is timestamped and locked — no further changes can be made to the document.
- You receive an instant notification (email and in-app) that the proposal has been accepted.
Declining a Proposal
If the recipient wants to decline:
- They click Decline at the bottom of the proposal.
- They can optionally enter a reason.
- You receive a notification that the proposal has been declined with any reason provided.
Declined proposals are marked accordingly and no further action is required from the system.
Signature Block Details
The signature block captures:
| Field | Description |
|---|---|
| Signatory name | Typed or drawn by the recipient |
| Email address | Pre-filled from the proposal recipient |
| Date signed | Automatically recorded timestamp |
| IP address | Logged for legal record-keeping |
| Browser user agent | Logged for legal record-keeping |
Downloading a Signed Proposal
After a proposal is accepted:
- Open the proposal in Bsynced CRM.
- Click Download PDF.
- A PDF is generated with the full proposal content and signature block appended.
This PDF serves as the legally binding signed agreement. Store it securely or attach it to the linked deal's Documents tab.
Sending a Reminder
If a proposal has been sent but not yet signed:
- Open the proposal.
- Click Send Reminder.
- A reminder email is sent to the recipient with the same proposal link.
You can send reminders manually or set up an Automation Sequence to send reminders automatically after a set number of days.
Proposal Link Expiry
Each proposal has an expiry date. After this date:
- The proposal link shows a "This proposal has expired" message to the recipient.
- The proposal status in the CRM changes to Expired.
- You can extend the expiry date by editing the proposal and saving a new date — this generates the same link with updated terms (the recipient must open the link again).
Legal validity of e-signatures
Electronic signatures created in Bsynced CRM are valid under the EU eIDAS regulation, the US ESIGN Act, and equivalent laws in most jurisdictions for general commercial agreements. For contracts requiring a qualified electronic signature (QES) or notarised signature, consult your legal counsel.
