Quick Setup Checklist
Use this checklist to get your Bsynced CRM workspace fully configured. Most teams complete this in under 15 minutes.
Step 1 — Workspace Basics
- Go to Settings → Workspace.
- Enter your company name, upload a logo, and set your timezone.
- Optionally customise terminology (e.g. rename "Deal" to "Opportunity") under Settings → Terminology.
Step 2 — Invite Your Team
- Go to Settings → Users.
- Click Invite User and enter the email address.
- Assign a role: Admin, Manager, or Member.
- Optionally add users to Teams for shared pipeline visibility.
Roles at a glance
- Admin — full access including settings, billing, and user management.
- Manager — can view all deals and reports; cannot change billing.
- Member — can only see their own assigned deals and contacts.
Step 3 — Set Up Your Pipeline
- Go to Settings → Pipeline Stages (or open the Pipeline board and click Manage Stages).
- Add stages that match your sales process (e.g. Prospecting → Proposal Sent → Negotiation → Closed Won).
- Set a probability % for each stage — used in forecast calculations.
- Optionally add Custom Fields under Settings → Custom Fields for deal-specific data.
Step 4 — Connect Your Email
Choose one of the following options:
| Option | Best for |
|---|---|
| Gmail OAuth 2.0 | Google Workspace or personal Gmail users |
| IMAP / SMTP | Any email provider (Outlook, Yahoo, custom domain) |
- For Gmail: go to Settings → Integrations → Gmail and click Connect Google Account.
- For IMAP: go to Settings → Integrations → IMAP and enter your server details.
See Mail Setup for detailed instructions.
Step 5 — Connect WhatsApp (Optional)
If your plan includes WhatsApp:
- Go to Settings → Integrations → WhatsApp.
- Enter your WhatsApp Business API credentials (phone number ID, token, and webhook).
- Test the connection and approve message templates in Meta Business Manager.
See WhatsApp Setup for full instructions.
Step 6 — Enable Add-ons
- Go to Marketplace.
- Enable the add-ons your team needs: Proposals, Booking Scheduler, Automation Sequences, Twilio Calling, etc.
Add-on gating
Features like Sequences, Proposals, and Booking require the relevant add-on to be enabled in the Marketplace. If a feature is missing from your sidebar, check the Marketplace first.
Step 7 — Import Contacts
- Go to Contacts and click Import.
- Upload a CSV file with columns: Name, Email, Phone, Company.
- Map the columns and confirm the import.
Step 8 — Create Your First Deal
- Open the Pipeline board.
- Click + Add Deal on any stage column.
- Fill in the deal title, contact, value, and expected close date.
- Save — the deal card appears on the board.
